10 Things You Can Do to Make Your Refi Loan Officer Love You (and Get Closed Ridiculously Fast)

Refinancing can be surprisingly fast when two things happen at the same time: your loan team moves quickly and you make it easy for them to do their job.

This isn’t about being a “perfect borrower.” It’s about avoiding the few common speed bumps that slow down almost every refi. Do the things below and you’ll make your refinance loan officer very happy—and give yourself the best shot at closing ridiculously fast.

1) Send documents like you’re trying to win a race

When we ask for something, it’s usually because underwriting needs it to keep your file moving.

  • Reply the same day when you can
  • Send the full document (all pages)
  • If you’re not sure what to send, ask before guessing

Speed loves clean paperwork.

2) Pay stubs and W-2s: give us the “whole set”

Common slowdown: we get page 1 of 2, or one year instead of two.

  • Most recent pay stubs (as requested)
  • W-2s (usually two years)
  • If you’re self-employed, expect a different list

3) Bank statements: all pages, even the blank ones

Yes, even the page that says “This page intentionally left blank.” It’s still a page.

Try to avoid:

  • Random transfers between accounts
  • Unexplained Venmo/Zelle inflows

If you need to move funds, just give your loan officer a heads up so we can document it cleanly.

6) Be ready to explain anything that looks weird on paper

Your finances can be totally normal in real life and still look confusing in a loan file.

Examples:

  • A one-time bonus
  • A temporary job change
  • A gap in employment
  • A big deposit (gift, reimbursement, sale)

A quick explanation letter can save days of back-and-forth.

7) Answer questions with specifics (not “yep”)

We love a fast reply. We love it even more when it’s complete.

Instead of: “Yes.”

Try: “Yes—this deposit was a tax refund on 2/15. Here’s the IRS transcript.”

Specific answers keep your file moving forward, not sideways.

8) Sign disclosures quickly

A refi can’t really get rolling until initial disclosures are signed.

  • Watch for the email/text notification
  • Open it right away
  • Sign it the same day if possible

This one step alone can shave serious time off the timeline.

9) Be reachable (and pick one communication channel)

If we’re calling, texting, and emailing, we’re not moving your file—we’re chasing you.

Tell us:

  • Best number
  • Best email
  • Best time window
  • Whether you prefer text or email

Fast closings love fast communication.

10) Treat the appraisal like a schedule priority

If your refi requires an appraisal, delays often happen because of access.

  • Respond quickly to scheduling calls
  • Make the home accessible
  • If you have pets, plan ahead

Appraisals are a key “outside” step—when they’re late, everything feels late.
